Refund & Cancellation Policy

At NXT LVL Softball, we understand that schedules can change. Our goal is to provide clear and fair cancellation and refund guidelines while allowing us to plan responsibly for coaches, facilities, equipment, staffing, and other program-related expenses.

By registering for or purchasing a NXT LVL Softball program, service, event, training session, league, camp, or other offering, you acknowledge and agree to the terms outlined below.

General Refund Policy

All registration fees, deposits, and payments are subject to the cancellation and refund terms associated with the specific program or service.

Unless otherwise stated in the program's registration information, payments are generally non-refundable once a program, session, event, or service has been confirmed.

NXT LVL Softball may, at its discretion, provide a partial refund, credit, or other resolution based on the circumstances.

Cancellations by Participants

Individual Lessons & Training Sessions

For private lessons, small-group training, and other individually scheduled sessions:

Cancellations made at least 24 hours before the scheduled session may be eligible for a rescheduling or credit.
Cancellations made less than 24 hours before the scheduled session, as well as no-shows, may result in the loss of the session and payment.
Repeated late cancellations or no-shows may result in the loss of future scheduling privileges.

Any refund or credit for a late cancellation will be determined at the discretion of NXT LVL Softball.

Camps, Clinics & Special Events

Registration fees for camps, clinics, workshops, and special events are generally non-refundable once registration has been confirmed.

If a participant is unable to attend, NXT LVL Softball may, at its discretion, offer a partial refund, account credit, transfer to another participant, or other accommodation when reasonable.

Leagues & Team Registrations

League and team registration fees are generally non-refundable once a team or player has been officially registered and the league schedule has been established.

This is because league fees may be used to secure fields, umpires, insurance, equipment, scheduling, staffing, and other operational expenses.

If a team withdraws after registration, NXT LVL Softball will determine whether any refund or credit is available based on the timing of the withdrawal and costs already incurred.

Individual player fees may also be subject to the specific rules provided during registration.

Weather-Related Cancellations & Schedule Changes

Outdoor softball programs and events may be affected by weather, field conditions, facility availability, or other circumstances outside of NXT LVL Academy's control.

When possible, NXT LVL Softball will attempt to reschedule canceled games, practices, lessons, camps, or events.

If a program cannot be rescheduled, NXT LVL Softball may provide a credit, partial refund, or other resolution depending on the circumstances and the expenses already incurred.

Refunds are not guaranteed for weather-related cancellations.

Program Cancellation by NXT LVL Softball

NXT LVL Softball reserves the right to cancel, postpone, modify, or discontinue a program, event, league, training session, or other offering due to circumstances including, but not limited to:

Insufficient registration
Severe weather or unsafe field conditions
Facility or field availability
Coach or staff availability
Safety concerns
Unforeseen circumstances
Other circumstances beyond NXT LVL Academy's reasonable control

If NXT LVL Softball cancels a program before it begins, we will make reasonable efforts to provide affected participants with an appropriate resolution, which may include a refund, partial refund, credit, transfer, or rescheduling opportunity.

The specific resolution will depend on the circumstances and costs already incurred.

Medical or Personal Circumstances

We understand that injuries, illness, family emergencies, and other unexpected circumstances may occur. Requests for refunds or credits related to medical or personal circumstances will be considered on a case-by-case basis.

Documentation may be requested when appropriate.

Refund Processing

When a refund is approved, refunds will generally be issued to the original payment method.

Processing times may vary depending on the payment processor or financial institution. NXT LVL Softball is not responsible for delays caused by a bank, credit card company, payment processor, or other third party.

Any applicable processing fees or non-refundable expenses may be deducted from an approved refund when permitted by law.

Registration Fees & Administrative Costs

Certain fees may cover expenses incurred by NXT LVL Softball at or before registration, including facility reservations, insurance, equipment, administrative costs, payment processing, staffing, and other program-related expenses.

These costs may affect the amount of any refund or credit that can be provided.

Requesting a Refund

Refund or cancellation requests should be submitted in writing to NXT LVL Softball using the contact information provided on our website.

Please include:

Participant or team name
Program, event, or service
Registration or payment date
Reason for the request
Preferred resolution, if applicable

NXT LVL Softball will review the request and respond within a reasonable timeframe.

Policy Changes

NXT LVL Softball reserves the right to update or modify this Refund & Cancellation Policy at any time.

Any changes will be posted on this page with an updated "Last Updated" date.

The policy in effect at the time of registration or purchase will generally apply to that transaction, unless otherwise required by law.
